Trust Administrator

This position is responsible for providing financial, administrative, and clerical support to our Consumer Collections Department. Duties include processing mail and reviewing payments, data entry for section spreadsheets to be updated daily, responding to emails, invoice reminders to clients, gathering information for audits, bank statement and daily deposit reconciliations, logging and tracking end-of-day reports for several trust accounts, and other miscellaneous duties assigned by the department.

Essential Duties and Responsibilities:

  • Open and sort mail daily and separate all payments received
  • Scan and code all payments/checks received each day
  • Assist other teammates with online payment postings as needed
  • Prepare and mail receipts to our client’s debt buyers
  • Assist with preparing documentation for various client audit reviews.
  • Conduct daily check reconciliations and compare to deposits for that day
  • Process electronic deposits daily
  • Prepare and mail refund checks
  • Prepare invoices for e-filing fees to be paid
  • Update daily Excel spreadsheets for reporting direct payments, returned checks, and refund checks
  • Process cost reversals and update notes within our database system
  • Perform a daily recording of all transactions for all Client Trust Accounts and review the end-of-day balance
  • Generate the monthly outstanding checklist for each Trust Account at the beginning of every month for reconciliations to be completed

 

Knowledge, Skills, and Abilities Required:

  • Prefer a minimum of a 2-year college degree in Accounting or a related field
  • Must have a basic understanding of accounting processes (Ledgers, Credits, and Debits)
  • Good office mathematical skills are required
  • Intermediate to advanced skills in Microsoft Office, Excel preferred
  • 6 months to 1 year in Accounting, Accounts Payables, Billing, or Payroll experience is a plus
  • Ability to work in a team environment
  • Good verbal and written communication skills, legible handwriting is required.
  • Proven ability to multitask and prioritize workflow
  • Strong ability to process a large volume of work in an efficient and precise manner
  • Must be detail-oriented
